Inventory and Procurement, Connected to the Work
Stock, products, purchase orders, and deliveries in one connected ledger
Maya replaces spreadsheets and paper folders with a single inventory and procurement system that knows what you bought, what you used, what is on its way, and what each application cost. Because every spray and fertiliser job in Maya already records product and rate, your stock levels and budget figures update without anyone re-keying data.
Why Inventory and Procurement Belong Inside the Same Platform
Most facilities run inventory in one tool, purchase orders in another, and chemical or fertiliser records in a third. Reconciling them is painful, and by the time anyone notices a stockout the spray window has passed. Costs are rarely tied back to the zones that consumed them, so it is hard to answer simple questions like how much you spent maintaining the greens last quarter.
Maya brings stock, products, purchase orders, and deliveries into a single ledger that is wired into your operational data. When a spray task is completed, stock is automatically deducted. When a delivery is logged, stock goes up. Costs follow the application all the way through to the zone where the product was used, giving you a clear picture of where money is being spent and what is running low.
Four Connected Modules
Each module handles one part of the procurement cycle, and they all share the same product catalogue and ledger.
Stock
Live stock levels for every product, with low-stock alerts and a transaction history showing every entry, deduction, adjustment, and transfer.
Products
Central product catalogue with active ingredients, units, supplier, default cost, and the labels needed for compliance and reporting.
Purchase Orders
Raise purchase orders directly from the products you already use. Track approvals, expected delivery dates, and outstanding spend per supplier.
Deliveries
Log incoming deliveries against open purchase orders. Goods received automatically increase stock and close out the relevant order lines.
Inventory & Procurement Capabilities
Everything a turf operation needs to keep stock accurate and procurement under control.
Low-Stock Alerts
Set a minimum stock level for any product. Maya warns you before you run out, with enough lead time to raise a purchase order rather than scramble.
Linked to Real Usage
Sprays, fertiliser jobs, and other applications automatically deduct from stock at the recorded rate. No double entry, no drift between paper and reality.
Cost per Zone & per Job
Every product carries a cost. Maya rolls up spend by zone, surface, task type, or time period so you can see exactly where your budget is going.
Supplier Records
Keep supplier contacts, default lead times, and pricing history attached to each product. Speeds up reordering and supports vendor reviews.
Delivery Tracking
See every open purchase order, what has been received, what is outstanding, and which lines are overdue, all in one view.
Consumption Reports
Generate reports on product consumption over any time window, useful for budgets, regulatory submissions, and end-of-season reviews.

Inventory & Procurement FAQ
Yes. When a spray or fertiliser application is completed in Maya, the system deducts the recorded product and rate from stock. Your spray records and stock levels stay in sync without any extra data entry.
